Job Title: Accounts Payable Specialist

Summary (Why This Role Matters)

We are seeking a detail-oriented Accounts Payable Specialist who will be responsible for managing and processing company invoices while maintaining strong relationships with our clients and creditors. This role is essential for ensuring that all financial transactions are managed efficiently, contributing to the overall financial health and operational success of GoTeam.

Key Responsibilities

• Record and upload invoices in Urbanise, Invoice HQ, and GDrive for filing.
• Handle invoice queries and ensure action is taken within 24 hours from receipt, especially for urgent matters.
• Liaise with creditors regarding invoices and manage communications effectively.
• Send invoices for approval via Invoice HQ as scheduled and follow up on approvals.
• Conduct a weekly check of invoices due every Monday to ensure timely payments.
• Process invoices for payment, typically completed every Wednesday and Friday unless urgent cases arise.
• Manage creditor responsibilities in Urbanise, ensuring compliance and accuracy.
• Verify creditor invoices for ABN and GST claims to ensure accuracy.
• Send notices for changes in billing addresses as required.
• Organize client portfolios and review expenses against budget.
  
  
  

Daily Tasks

• Address invoice queries promptly, acting within 24 hours or as needed.
• Liaise with creditors about invoices to ensure timely action.
• Send invoices for approval typically every Monday or sooner for urgent requests.
• Conduct weekly checks of invoices due every Monday.
• Process invoices for payment, generally every Wednesday and Fridays, subject to approval for urgent cases.
• Review creditor invoices for ABN and GST on a fortnightly basis.

Skills & Experience (Overview)

• Previous experience in accounts payable or financial administration.
• Strong organizational skills with keen attention to detail.
• Proficient in financial software (Urbanise, Invoice HQ) and Microsoft Office Suite.
• Excellent communication skills to effectively liaise with clients and creditors.
