ROLE SNAPSHOT


You are the operational data hub of a fast-paced recruitment firm — the person consultants turn to when they need accurate commission figures, system access, and reporting outputs. Your work directly supports director decision-making and consultant performance visibility, which means the stakes on accuracy and responsiveness are high every single day.


You are expected to collate data correctly, check that everything aligns, flag discrepancies before they escalate, communicate clearly when someone needs information fast and multi-platform system administration. Best suited for someone who is systems-confident, worked in a recruitment or sales-driven business, understands the urgency that comes with that environment, and takes quiet pride in being the most reliable person in the room.


YOU’RE LIKELY A STRONG FIT IF YOU HAVE


  • Hands-on Bullhorn experience — navigating records, categories, placements, and reporting outputs; recruitment CRM experience in a staffing firm is the minimum acceptable baseline
  • Background in a recruitment, staffing, or sales-driven business environment where urgency and accuracy coexist
  • Experience preparing or checking commission, payroll-adjacent, or performance data — with the attention to detail to catch misalignments before they reach decision-makers
  • Strong Microsoft Excel skills used in a live reporting or data-checking context
  • Clear, confident communication — written and verbal — with the ability to read when someone needs a fast answer versus a thorough one
  • Availability to work on a hybrid schedule from IT Park, Cebu City (8:00 AM–5:00 PM, Monday–Friday); candidates outside Cebu considered for full remote only in exceptional cases


STRONG SIGNALS


  • Experience with Bullhorn Automation or Dataloader (bulk data tools)
  • Familiarity with recruitment advertising platforms — Broadbean, SEEK, or equivalent
  • Experience with VXT, TextUs, Cube, Sourcr, or Employment Hero
  • Track record managing month-end reporting deadlines in a high-pressure environment
  • Experience as a systems point-of-contact or knowledge owner for business software platforms
  • Background preparing board or management-level reporting packs


RESPONSIBILITY PILLARS


Reporting and business data

You own the recurring reporting calendar — directors and consultants rely on your outputs being accurate and on time, every time.

  • Prepare and maintain weekly, monthly, and quarterly reports: ABC reports, consultant activity data, temp actuals, profit share, RDO eligibility, and board packs
  • Build and update Cube dashboards and reporting outputs
  • Maintain org charts, master temp reference lists, and RDO eligibility data


Commission and payroll-adjacent support

You manage the data that feeds commission and payroll decisions — collating placements, splits, leave, and RDO eligibility into a clean summary that directors approve and send to payroll.

  • Maintain and update the monthly commission spreadsheet — tracking placements, splits, and any adjustments throughout the month
  • Review leave usage and RDO eligibility against targets; prepare end-of-month director summaries
  • Verify reimbursements, salary sacrifice, and paid invoice data relevant to commission processing
  • Respond to director and consultant queries about commission data accurately and promptly


Bullhorn administration and data integrity

You keep the recruitment CRM clean, current, and usable — consultants source reporting data from Bullhorn, so its accuracy directly affects their work.

  • Create, update, and maintain records for candidates, clients, jobs, and placements
  • Execute bulk data loads and note uploads via Dataloader
  • Support Bullhorn Automation workflows, integrations, and data issue resolution
  • Prepare and send Eshots through Bullhorn Automation


System user management

You manage platform access across the business — and over time, you become the internal knowledge expert that software vendors engage with directly.

  • Set up, update, and deactivate users across Bullhorn, Broadbean, SEEK, VXT, Cube, TextUs, and Sourcr
  • Manage posting limits, call forwarding, and text limits per platform requirements
  • Represent the business in vendor discussions and platform support calls


Process improvement and documentation

You identify gaps, document recurring tasks, and support system improvements that make the consulting team's job easier.

  • Document key recurring tasks to ensure continuity and reduce key-person dependency
  • Flag data inconsistencies and resolve system or reporting queries with internal stakeholders
  • Support automation updates, system changes, and integration troubleshooting
