The bet behind Apollo is simple. As AI makes good-enough video cheap and everywhere, the brands that invest in real craft stand apart. We sit on the craft side of that gap, and every project we ship has to clear a high bar.
Holding that bar across a growing slate of projects takes coordination we don't have a dedicated person for yet. That's this role. And it's two jobs in one.
JOB ONE: KEEP THE WORK MOVING
You own project management across every active engagement. You're not producing the videos, that's the creative team's seat. You're the person who makes sure the whole thing runs.
We have everything we need to start and finish each project, on time
Dates are aligned and coordinated across clients, the team, and freelancers
Work is assigned and everyone knows what they own
People are accountable, internally and client-facing, and nothing slips through the cracks
Clients always know where things stand
JOB TWO: BUILD HOW WE RUN
This is the part that makes the role bigger than coordination. We want someone who builds the operations and systems behind the studio, not just works inside them.
A big piece of that: we've built our own internal project management tool, and getting it into a great spot is a real part of this job. You'd help shape it, improve it, and make it the backbone of how we operate.
Design and improve the internal systems that keep Apollo running
Help build out our custom project management tool alongside the founders
Bring AI tools into our workflows and figure out where they save real time
Spot process gaps and close them before they become problems

You're curious about AI and tooling. You like figuring out how to make work run better, not just running it
You move fast and learn faster. You'd rather figure it out than wait to be told
You care about good work and can feel the difference between fine and great
You're comfortable in a small team where the role isn't fully drawn yet. You'll help draw it
We care less about years on a resume than about drive, curiosity, and fit. If you're early in your career and hungry for a seat where you own real things and help build the company, this is one.
Nice To Have (not Required)
Time at an agency, studio, or in-house creative team
Hands-on experience with project management or ops tools (Notion, Asana, Linear, or similar)
Any experience building or tinkering with software, automations, or AI workflows
Familiarity with video or creative production
