JOB SUMMARY

Avid is looking for a Legal Operations Coordinator to join our team!


This role will serve as a central coordination point within the Legal Operations team, responsible for managing legal intake, triaging and tracking requests, and maintaining visibility across all active matters and workflows. The role will ensure accurate task assignment, queue management, and reporting to support prioritization, workload distribution, and operational decision-making. This position will also take ownership of legal systems and documentation management, including maintaining contract lifecycle management (CLM) platforms, legal repositories, templates, playbooks, and SOPs with a focus on accuracy, structure, and accessibility.


In addition, the role will support invoice and billing operations by reviewing outside counsel and vendor invoices for compliance with internal billing guidelines, coordinating approvals, tracking payments, and assisting with legal spend reporting. Working closely with Legal, Finance, and cross-functional stakeholders, this role will ensure end-to-end tracking of legal work, support process consistency, and contribute to continuous improvement initiatives while handling sensitive information with discretion and professionalism.


This role will follow a Hybrid work model (at least twice a week onsite to our BGC Office) with a schedule of 9:00 PM – 06:00 AM.


WHAT YOU WILL DO

Duties and Responsibilities include, but are not limited to:


Task Intake & Tracking

  • Serve as the primary point of contact for incoming legal requests, triaging and routing tasks to the appropriate team member or queue
  • Maintain and update matter tracking systems to ensure accurate status, ownership, and priority across all open items
  • Monitor task queues and flag overdue or at-risk items to the Legal Operations Senior Manager
  • Generate regular status reports on open matters, completed requests, and workload distribution

Legal Resource & Document Management

  • Maintain and organize the legal documentation library, including templates, policies, playbooks, and executed agreements
  • Ensure documents are version-controlled, properly tagged, and accessible to the appropriate stakeholders
  • Support the upkeep and improvement of the contract lifecycle management (CLM) system and other legal repositories
  • Assist with drafting and formatting legal process documentation and standard operating procedures (SOPs)

Invoice & Billing Management

  • Receive, review, and process legal invoices from outside counsel and vendors, ensuring compliance with billing guidelines
  • Track invoice status and coordinate with Finance to ensure timely payment and accurate accruals
  • Maintain a billing tracker and generate monthly spend summaries for Legal Department review
  • Flag billing discrepancies or guideline violations and work with the Senior Manager to resolve them
  • Support the annual outside counsel budgeting process by compiling historical spend data

General Legal Operations Support

  • Provide scheduling, logistics, and administrative support to the legal operations team as needed
  • Assist with onboarding materials, training documentation, and department communications
  • Participate in process improvement initiatives led by the Legal Operations Senior Manager
  • Handle sensitive information with discretion and professionalism at all times


WHAT YOU CAN DELIVER:


Minimum Qualifications:

  • Bachelor's degree in Legal Management, Public Administration, International Relations, or other related field.
  • At least 5 years of experience in legal administration or a related role, with exposure to one or more of the following areas: contract management, legal operations, regulatory compliance, labor and employment law, or corporate legal support.
  • Strong experience in legal workflow coordination, including intake management, matter tracking, or task queue administration.
  • Hands-on experience with legal systems and tools such as contract lifecycle management (CLM) platforms, matter management systems, or document repositories.

Preferred Qualifications:

  • Juris Doctor (J.D.) or Bachelor of Laws (LL.B.) graduate
  • Prior experience in Legal Operations within an IT or technology-driven organization.
  • Prior experience supporting contract lifecycle management (CLM), matter management systems, or legal workflow tools.
  • Prior experience in legal invoice processing, outside counsel coordination, or legal spend tracking.
  • Prior exposure to intellectual property administration, including trademark and patent maintenance, renewals, or filings.
  • Prior experience in legal operations reporting, metrics tracking, or supporting process improvement and workflow optimization initiatives, with exposure to supporting cross-regional operations (e.g., EMEA or other global jurisdictions) is an advantage.

  • Strong organizational skills with the ability to manage multiple priorities and maintain accurate legal documentation.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively across cross-functional teams.
  • Proficiency in Microsoft Office applications; experience with legal technology platforms, contract lifecycle management (CLM) systems, or document management tools is an advantage.
  • High attention to detail, sound judgment, and the ability to handle confidential information with discretion.
