About The Role

We are looking for an Executive Assistant cum Operations Coordinator who will be responsible for providing high-level administrative and operational support to the CEO while driving the development of scalable processes, systems, and internal operations. This role serves as a key partner in ensuring organizational efficiency, enabling leadership to focus on strategic priorities and business growth.

You will work closely with the CEO and cross-functional teams, playing a critical role in streamlining operations, coordinating business activities, and building the infrastructure needed to support a fast-growing organization.

Work Setup: Onsite

Shift Schedule: Night Shift

Location: Cebu City

Your Responsibilities

  • Provide comprehensive executive support by managing calendars, coordinating meetings, prioritizing communications, and arranging travel plans.
  • Facilitate client and internal coordination by organizing meetings, preparing materials, tracking action items, and ensuring timely follow-ups.
  • Develop and maintain structured onboarding and training resources to support employee integration and operational consistency.
  • Create professional business documents, presentations, reports, templates, and process documentation for both internal and external stakeholders.
  • Conduct research and gather insights to support business initiatives, strategic planning, and decision-making.
  • Oversee day-to-day office administration, including facilities management, office supplies, workspace readiness, and employee setup requirements.
  • Support recruitment and people operations by coordinating interviews, managing hiring documentation, and assisting with new hire onboarding activities.
  • Utilize AI-powered tools and emerging technologies to improve productivity, streamline workflows, and support operational efficiency.

What We're Looking For

  • Bachelor's degree holder with a strong academic background.
  • At least two (2) years of experience in executive support, operations coordination, office administration, or a similar role.
  • Experience supporting international executives, remote teams, or fast-paced organizations is an advantage.
  • Strong written and verbal communication skills with a high level of professionalism in English.
  • Exceptional organizational and time-management abilities, with the capacity to manage multiple priorities simultaneously.
  • Proficiency in Microsoft Office and Google Workspace applications, particularly PowerPoint, Word, Excel, and spreadsheets.
  • Tech-savvy and adaptable, with the ability to quickly learn and navigate new systems and digital tools.
  • Familiarity with AI platforms such as ChatGPT, Claude, or similar technologies is preferred; willingness to learn is equally valued.
  • Willing to work on-site and align with U.S. business hours (9:00 PM – 6:00 AM Philippine Time).
  • Demonstrates professionalism, discretion, sound judgment, and the ability to handle confidential information with integrity.
  • This position requires full professional commitment and availability due to the demanding and highly collaborative nature of the work.
