What The Day Will Look Like

Executive & Business Support

  • Provide end‑to‑end executive support, including complex calendar management across multiple time zones, meeting coordination, and travel planning (domestic and international).
  • Act as a gatekeeper and liaison between the executive and internal/external stakeholders, prioritizing requests and managing communications with professionalism and discretion.
  • Prepare, format, and quality‑check executive‑level materials such as presentations, reports, agendas, briefing notes, and follow‑ups.
  • Support executives with meeting preparation, including pre‑reads, action tracking, and post‑meeting follow‑through.

Stakeholder & Communication Management

  • Coordinate effectively with global teams, executive assistants, and leadership stakeholders across regions.
  • Draft and manage executive communications on behalf of leaders when required.
  • Build strong working relationships with peers and stakeholders to ensure seamless offshore support.

Operational & Process Excellence

  • Manage recurring administrative processes such as expense submissions, approvals, and compliance requirements in line with company policies.
  • Maintain accurate records, trackers, and documentation to support executive workflows.
  • Identify opportunities to streamline administrative processes and improve executive effectiveness.
  • Support onboarding of new executives, ensuring a smooth transition and alignment with offshore support models.

Confidentiality, Risk & Professional Standards

  • Handle highly sensitive and confidential information with discretion and integrity at all times.
  • Ensure compliance with internal policies, data privacy, and information security standards.
  • Demonstrate sound judgment in escalating issues and managing competing priorities.

Skills And Experience That Will Lead To Success

  • Minimum 5+ years of experience supporting senior leaders (Director level and above) as an Executive Assistant or in a comparable role.
  • Proven experience supporting executives based offshore or in global organizations.
  • Strong proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Word, Excel).
  • Excellent written and verbal English communication skills.
  • Demonstrated ability to manage multiple priorities with accuracy and attention to detail.
  • Executive Presence & Professionalism – confident, credible, and polished when interacting with senior stakeholders.
  • Judgment & Discretion – trusted with sensitive information and complex situations.
  • Proactivity & Anticipation – able to think ahead and act without constant direction.
  • Time Zone & Cultural Awareness – effective in a global, offshore support environment.
  • Organization & Follow‑Through – consistently delivers high‑quality outcomes under pressure.
