The Contract Management Specialist is responsible for ensuring the accuracy, completeness, and governance of all Partnership Agreements (PAs) across the Global Customer Operations Hub. This role plays a critical part in maintaining alignment between contractual commitments, cost structures, headcount allocations, and stakeholder expectations.
The role oversees the full lifecycle of Partnership Agreements, including annual renewals, updates, validation with stakeholders, and quarterly One-Page Agreement (OPA) processing. This role works closely with Service Excellence Leaders, Hub Expansion teams, HR, and Finance Business Partners (FBPs) to ensure that all contractual data is accurate, current, and aligned with operational and financial requirements.

What will you do?
ESSENTIAL FUNCTIONS:
Partnership Agreement (PA) Management & Governance
- Maintain and manage all Partnership Agreements, ensuring they are accurate, updated, and aligned with the applicable fiscal year.
- Ensure all PAs reflect correct cost centers, stakeholders, scope of services, and agreed deliverables.
- Validate that headcount allocations are aligned with approved workforce plans and stakeholder requirements.
- Ensure proper version control, documentation, and accessibility of all PAs.
- Lead the annual Partnership Agreement renewal cycle for the upcoming fiscal year.
- Coordinate with stakeholders to update agreements based on:
- Cost changes and financial assumptions
- Actual headcount and workforce adjustments
- Updated stakeholder requirements or expectations
- Ensure all revisions are validated, documented, and approved within the defined timeline.
- Facilitate alignment discussions between stakeholders to resolve discrepancies or gaps.
- Partner with Service Excellence Leaders, Hub Expansion Teams, and Finance Business Partners (FBPs) to validate all PA details.
- Ensure agreements are aligned with operational delivery models, expansion plans, and financial targets.
- Act as the central coordination point for all PA-related clarifications and approvals.
- Drive accountability for timely review and approval by all stakeholders.
- Ensure that all PAs reflect accurate headcount allocation linked to agreed services and workload requirements.
- Validate cost structures, billing models, and financial assumptions in partnership with Finance.
- Monitor alignment between PA commitments and actual HC/cost movements, highlighting variances.
- Prepare and process One-Page Agreements (OPA) on a quarterly basis for all active PAs.
- Ensure OPAs accurately reflect current operational, financial, and contractual updates.
- Secure timely approvals from all required stakeholders.
- Maintain proper documentation and audit trail for all OPA submissions.
- Ensure all contracts and agreements comply with internal governance standards and audit requirements.
- Maintain accurate records and documentation for audit and review purposes.
- Identify risks, inconsistencies, or gaps in agreements and drive corrective actions.
- Provide regular reports on PA status, renewal progress, OPA completion, and compliance metrics.
- Develop dashboards or trackers to ensure full visibility of contract lifecycle activities.
- Provide actionable insights to leadership on risks, delays, or misalignments.
- Support continuous improvement initiatives for contract management processes and tools.
- Contribute to standardization of PA templates, governance guidelines, and workflows.
- Assist in onboarding new business by ensuring timely creation and alignment of new PAs.
- Support offboarding processes by ensuring proper closure and documentation of agreements.
- Collaborate with Transformation or Excellence teams to improve efficiency and accuracy.
- Provide data support for financial planning, audits, and business reviews.
EDUCATION—MINIMUM REQUIRED LEVEL:
- Bachelor’s degree in Business Administration, Finance, Accounting, Legal Studies, or related field.
- 3–5 years of experience in contract management, financial operations, business operations, or similar roles.
- Experience managing agreements, contracts, or commercial documentation in a BPO or shared services environment.
- Strong familiarity with financial concepts such as cost allocation, budgeting, and headcount planning.
- Experience working with cross-functional stakeholders (HR, Finance, Operations).
- Strong attention to detail and accuracy in documentation and data management.
- Excellent stakeholder management and coordination skills.
- Strong analytical and problem-solving capabilities.
- Proficiency in Excel and reporting tools; ability to manage large datasets.
- Strong organizational and time management skills, especially in deadline-driven environments.
- Experience with contract lifecycle management tools or ERP systems (SAP, Oracle, etc.).
- Knowledge of pricing models, commercial frameworks, or cost governance.
- Background in project management or process improvement methodologies.
- Familiarity with audit, compliance, or governance frameworks.
