Support Commercial Estimating, Bid Tracking, and Sales Follow-Up

Natural Elements Painting & Repair is hiring a part-time Assistant Plan Estimator to support our commercial estimating and sales process. This role is ideal for someone who is highly organized, detail-oriented, comfortable working with numbers and documents, and eager to learn construction estimating systems and processes.

The Assistant Plan Estimator will help review project plans, prepare and support commercial estimates, organize bid information, assist with proposal development, follow up on submitted estimates, and keep the company's sales and estimating systems accurate and current.

This is a remote position for someone who can work during Eastern Standard Time business hours, communicate clearly and professionally, and take ownership of assigned tasks while receiving guidance and review from management or a senior estimating team member when needed.

Key Responsibilities

  • Review commercial project plans, drawings, specifications, scopes of work, bid invitations, and project documents
  • Identify basic scope requirements, missing information, addenda, bid deadlines, and project-specific instructions
  • Create, update, and organize estimates using company-approved estimating procedures and software
  • Use tools such as ZZ Estimate, Togal AI, PaintScout, and other required platforms to support takeoffs, measurements, labor assumptions, materials, production rates, and pricing
  • Prepare draft estimates, scope notes, exclusions, clarifications, alternates, and proposal information for review
  • Make estimate revisions based on internal feedback, client updates, addenda, pricing changes, or scope changes
  • Help confirm that estimates include the correct scope, quantities, labor, materials, production assumptions, and margin requirements
  • Maintain organized estimate files, plan documents, proposal versions, notes, bid correspondence, and supporting documentation
  • Follow up on submitted commercial estimates and proposals
  • Communicate professionally with prospects, clients, general contractors, property managers, builders, vendors, and internal team members
  • Track open estimates, pending proposals, active opportunities, expected close dates, sales probability, and projected gross profit margin
  • Update Pipedrive and other required systems after client interactions and follow-up activity
  • Help move assigned commercial opportunities from bid submission to signed approval, awarded work, or closed-lost status
  • Escalate unclear, complex, high-value, or margin-sensitive items to management before proposals are finalized
  • Participate in estimate reviews, pipeline reviews, sales meetings, and training as assigned
  • Follow company documentation, communication, cybersecurity, password, device, and confidentiality procedures

Experience with estimating software, construction documents, Pipedrive, Google Workspace, or bid platforms is helpful but not required for the right candidate.

  • Willingness to comply with company cybersecurity, password, device, and IT security requirements
  • Reliable internet service and an updated computer capable of supporting estimating software, online bid platforms, video meetings, and company communication systems

Prior experience in estimating, construction, painting, project coordination, sales support, or administrative work is preferred, but not required for the right candidate.

Schedule

  • Part-time, hourly position
  • Weekly hours may vary based on business needs, project volume, bid deadlines, and sales activity
  • Must be available to work during Eastern Standard Time business hours
  • This role may expand to full-time hours based on company needs, workload, performance, and business growth
  • All hours worked must be accurately recorded in the company's approved timekeeping system
  • Overtime, if applicable, must be approved in advance by management and will be paid in accordance with applicable law

Compensation And Benefits

  • $7.00 to $9.00 per hour, based on experience and performance
  • Part-time hourly position

  • Questions, risks, missing information, and margin-sensitive items are escalated before they become problems
  • Commercial opportunities are moved forward with strong documentation, professional communication, and attention to company margin requirements
