FutureProof is hiring an AI Operations & Team Coordinator.
This is a full-time role for someone based in the Philippines. Bacolod is preferred.
FutureProof is building a modern education and career transformation business, and we need a strong operator who can coordinate the whole team with clarity, speed, precision, proactive overcommunication, and direct follow-through.
Why this role exists
This role sits at the center of execution. You will help turn conversations, plans, calls, and messy ideas into organized work: owners, deadlines, blockers, dependencies, trackers, reports, agendas, decision notes, follow-ups, CRM updates, and weekly operating visibility.
This is a whole-team coordination role. The person needs to speak up, push for clarity, direct follow-up, and make status visible before anyone has to chase them. The tone should be careful and patient, but direct and assertive enough to keep the team moving.
What you will own
- Coordinate the whole team across content, sales, outreach, CRM, webinars, launch preparation, and internal operations.
- Capture decisions, next steps, owners, deadlines, dependencies, risks, and open questions from calls and working sessions.
- Prepare meeting agendas, meeting briefs, follow-up notes, and leadership prep documents.
- Help design and maintain project status reports, launch readiness reports, content/sales activity reports, CRM/funnel reports, decision logs, and weekly operating summaries.
- Connect reports into meeting agendas so leadership can see what changed, what is blocked, what needs a decision, and what happens next.
- Track execution across content, sales, outreach, CRM, webinars, launch preparation, and internal operations.
- Keep task lists, calendars, trackers, and operating documents clean and current.
- Overcommunicate status, blockers, risks, tradeoffs, and next steps before people need to pull updates from you.
- Follow up with people clearly and directly when work is late, unclear, blocked, or missing an owner.
- Use AI tools to summarize information, structure messy context, QA documents, and improve operating quality.
- Escalate risks early instead of waiting until something breaks.
What strong performance looks like
Meetings start with clear agendas and end with clean next steps. Important details do not disappear. Tasks have owners, dates, dependencies, and follow-up. Reports are clear enough for leadership to make decisions quickly. Nobody has to pull basic status, blockers, or context from you. The team feels more organized, more accountable, and less scattered because you are in the system.

Requirements
- Philippines-based. Bacolod preferred.
- Full-time availability.
- Comfortable working weekends during important launch periods if needed.
- Able to work Philippine time hours during launch, with overlap for PST review calls and escalation when needed.
- Reliable internet, power, and work setup, with a backup plan for outages or disruptions.
- Strong written English.
- Excellent communication discipline: direct updates, precise questions, early escalation, and strong follow-through.
- Strong organization, presentation, dependency logic, and decision-support skills.
- Experience with reports, trackers, meeting notes, admin operations, project coordination, or executive support.
- Comfortable using AI tools and LLMs such as ChatGPT, Claude, Gemini, Perplexity, Notion AI, or similar tools.
- Comfortable with Google Docs, Google Sheets, Airtable/CRM-style tools, calendars, and task trackers.
Compensation
Paid test week: $100 for top finalists who complete the test properly.
If hired, the full-time role starts at $600/month and has a clear path to $800 if performance is clearly excellent, then a larger increase at FutureProof's first major business milestone.
At that milestone, the target path is $1,000-$1,200/month plus a possible milestone bonus. Longer term, $1,200-$1,500/month is not the ceiling. It is an operating band on the way to higher upside through bonuses, expanded responsibilities, a more senior operating role, stronger business performance, and excellent personal performance.
This is not an automatic monthly raise ladder. The point is to start responsibly, then create a clear path to stronger pay and larger opportunity as the person proves they can help the team execute and FutureProof reaches meaningful business milestones.
