- Manage job records, work orders, invoices, and reports while ensuring accuracy and completeness.
- Coordinate schedules, send reminders, and maintain organized files and documentation.
- Assist with recruitment, interview scheduling, onboarding, and employee records.
- Support invoice processing, cost tracking, and weekly operational reports.
- Manage company assets, maintenance schedules, and administrative inboxes.
- Help improve processes and maintain efficient workflows across the business.
Non-negotiables
- Previous experience in an Administrative Assistant, Operations Assistant, or similar role.
- Strong organizational skills and attention to detail.
- Excellent written and verbal English communication skills.
- Ability to manage multiple tasks and meet deadlines.
- Proactive, resourceful, and solution-oriented mindset.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Experience with invoicing, data entry, or basic bookkeeping tasks.
- Experience using CRM, ERP, or job management systems (e.g., Simpro, NetSuite, ServiceM8, AroFlo).
- Experience supporting construction, trades, or service-based businesses.
