Role Overview
Were looking for an Admin Assistant who can provide dependable, hands-on administrative support to our People & Culture function and leadership team.
Reporting directly to the Head of People & Culture, this role is primarily responsible for day-to-day administrative tasks related to people operations, documentation, coordination, and on-site support. The role also serves as a flexible administrative resource and may be tapped to support Finance-related administrative work, leadership support, cross-department coordination, messenger support, field errands, or special projects as needed.
This is a fully on-site role and requires strong initiative, reliability, and the ability to move independently. Youll regularly coordinate with government offices, partners, warehouses, banks, service providers, and internal team members to complete documents, collect signatures, pick up or deliver checks, submit requirements, and ensure tasks are followed through to completion.
This role requires someone who is comfortable with field work, local travel, and mobility-related support. The Admin Assistant must be able to drive both a motorcycle and a car, as the role may involve regular document runs, pick-ups, deliveries, errands, and other on-the-ground administrative tasks.

Key Responsibilities
- People & Culture Administrative Support
- Prepare, organize, and file employee documents, contracts, and records.
- Support onboarding and offboarding documentation and coordination.
- Assist with people-related trackers, reports, and records management.
- Coordinate schedules, meetings, and documentation for People & Culture activities.
- Support printing, scanning, filing, routing, and safekeeping of People & Culture documents as needed
- On-Site Coordination, Messenger Support & Errands
- Process and submit documents to government offices, partners, banks, service providers, or external agencies.
- Coordinate with warehouses, service providers, and internal teams for document collection, verification, pick-up, or delivery.
- Follow up on signatures, approvals, checks, requirements, and required submissions across departments.
- Pick up and deliver documents, checks, company items, supplies, equipment, or other materials as instructed.
- Act as a reliable on-the-ground representative for administrative matters.
- Track, confirm, and report completion of assigned errands, including receipts, acknowledgements, proof of delivery, or status updates when needed.
- Driving & Mobility Support
- Drive a motorcycle and/or car for assigned errands, document runs, pick-ups, deliveries, and other administrative support needs.
- Plan routes properly and manage travel time to complete assigned tasks within expected timelines.
- Ensure company documents, checks, items, and other materials are handled carefully, securely, and confidentially while in transit.
- Follow traffic rules, road safety practices, and company instructions at all times.
- Immediately report delays, route concerns, accidents, vehicle issues, or other field-related concerns to the reporting manager.
- Cross-Functional Admin Support
- Support basic cross-functional administrative tasks as assigned.
- Assist with document preparation, filing, routing, collection, pick-up, and coordination for other teams when needed.
- Support pick-up, delivery, or routing of checks, receipts, invoices, forms, and other finance-related documents as instructed.
- Coordinate across departments to help ensure documents, approvals, submissions, and follow-ups are completed on time.
- Leadership & Executive Support
- Assist with scheduling, document preparation, and follow-ups for leaders.
- Provide ad hoc administrative support for special projects or executive tasks.
- Support leadership-related errands, document routing, pick-ups, deliveries, and coordination work when needed.
- Maintain discretion and professionalism when handling sensitive information.
- General Office & Administrative Duties
- Maintain organized records, both physical and digital.
- Track task status and ensure follow-through until completion.
- Support office-related coordination and logistics as required.
- Assist with basic purchasing, canvassing, supply runs, office errands, or coordination tasks when assigned.
- Help ensure documents, supplies, and other assigned items are complete, secure, traceable, and easy to retrieve when needed.
- Bachelor's degree preferred, but candidates with relevant experience are encouraged to apply
- Willing to work 100% onsite in BGC, Taguig
- Valid driver's license and able to drive both a motorcycle and a car (required)
- Experience in administrative support, office administration, executive assistance, people operations, operations support, logistics, or a similar role
- Comfortable with field work, document runs, pickups, deliveries, errands, and in-person coordination (only as needed)
- Familiar with Microsoft Excel and Google Sheets and comfortable using them for basic tracking, data entry, and record-keeping
- Highly organized and detail-oriented
